Part-Time Bookkeeper, Philadelphia Film Society
The Philadelphia Film Society is seeking a Part-Time Bookkeeper. This is a contract position which offers flexible scheduling at 20-30 hours per week. (40+ hours during festivals in April and July).
Qualified candidates will have 3-5 years of experience and be familiar with all aspects of bookkeeping, including but not limited to Journal Entry and Account Reconciliation. Must be able to work independently and be proficient in Microsoft Excel. Knowledge of Great Plains or similar General Ledger software is preferred.

Executive Director, Philadelphia Film Society
THE ORGANIZATION
Formed in 2001 to serve the Greater Philadelphia Area, The Philadelphia Film Society (PFS) dedicates itself to the presentation of film and video as a powerful form of artistic expression and a unique force for cultural diversity and international understanding. It endeavors to engage the region's diverse communities through its major film events and other year-round programming. Each year, it connects filmmakers and audiences throughout the area with its consistent array of geographically and thematically dispersed film and media arts events and services. The Film Society's most prominent activities include: the annual Philadelphia Film Festival, and the Philadelphia International Gay and Lesbian Film Festival.
PFS operates on a budget of $1.2 million with five professional staff and additional seasonal staff. In addition to the film festivals, programming consists of an internship program, and year-round special events and activities. The PFS Board of Directors includes leaders from the city government, local educational institutions, and the regional filmmaking community. The board embraces many future goals for PFS, and remains principally devoted to the continued, sustainable growth and financial stability of both film festivals. POSITION SUMMARY
The Executive Director will serve as the Philadelphia Film Society's chief executive, providing strategic direction and visionary leadership. S/he will have overall responsibility for the strategic, financial and management operations of the organization. The Executive Director will lead the Film Society's collaborative team of staff, volunteers and interns and will be expected to build upon the Society's successes of the past by both visualizing and capitalizing upon the opportunities for continued growth that lie ahead. S/he will guide the creation and implementation of a strategic planning process to ensure that PFS adapts to a changing media environment; refine and develop the PFS brand and promote PFS throughout the region.
The Executive Director will play a leadership role in enhancing assets and developing and nurturing donor relationships. In this role, s/he will guide the implementation of a broad fundraising program to bring additional resources to the Philadelphia Film Society. The Executive Director reports to the Board of Directors and has direct reports and delegated supervision of all staff.
KEY RELATIONSHIPS
Reports to: Chair, Board of Trustees
Supervisory relationship: Full time, seasonal, and part-time staff
RESPONSIBILITIES
Vision, Strategy and Business Planning:
Provides leadership to board and staff in creating a strategic planning process, to set the vision and
direction to enable PFS to achieve its mission;
Build and monitor the financial plan;
Leads collaborative relationships with stakeholders.
Resource Development:
Provides leadership to all of the PFS's fundraising efforts, working closely with the board of directors
and the development director to establish and implement fundraising goals;
Attract new sources of contributed income;
Calls on individuals, foundations, government, and corporations as appropriate to cultivate and solicit
program and operating support.
Board Relations:
Nurtures a collaborative relationship with the Board and its various committees; initiates and supports
a shared vision for the organization;
Ensures that governance and infrastructure are aligned with PFS' strategic direction;
Acts as a liaison to the Board's executive and subcommittees; Assists in soliciting and recruiting
outstanding leaders to the Board
Program Management:
Provides strategic leadership for operations, personnel, and supervision of staff;
Guide the development of program content and artistic partnerships;
Oversees present programs and new initiatives.
Community Outreach and Partnership Building:
Serves as principal spokesperson for the organization;
Maintains and strengthens relationships with community and cultural organizations;
Fosters media relations and represents the organization at relevant regional and national meetings
and events.
Fiscal Management:
Uses financial measures as a management tool in determining and evaluating current and new
programmatic initiatives and operational expenses;
Ensures strong budgeting and financial management;
Keeps board informed on the Partnership's financial status; Works with board to ensure annual
budget is adequately funded.
CANDIDATE PROFILE:
The ideal candidate will have a strong track record of leading media arts or similar organizations through periods of growth and significant change. The individual must be creative and visionary, strategic and practical, and demonstrate excitement about PFS' potential.
Preferred Qualifications
Demonstrated strategic leadership with ability to set objectives, coach team members and achieve
goals.
Experience and understanding of challenges facing arts & cultural organizations.
Excellent verbal and written communication skills, including public speaking.
A comfort and demonstrated ability for raising money from both individuals and institutions, and
familiar with the local funding community.
Strong financial management skills.
Experience working directly with a volunteer Board of Trustees and volunteer committees.
Passion for film and knowledge of related cultural institutions.
Ability to work independently and enjoy collaboration in both the internal and external aspects of PFS.
Minimum of five years of experience in business development or fundraising roles, including donor
identification, cultivation and stewardship.
High energy level, strong sense of initiative, creative problem-solving, enthusiasm, and flexibility.

Managing Director, Philadelphia Film Society
The Philadelphia Film Society is seeking a Managing Director to assist in the production of two annual film festivals (April's Philadelphia Film Festival [PFF] and July's Philadelphia International Gay and Lesbian Film Festival [PIGLFF]) as well as the activities of a year-round membership organization. Reporting to the Artistic Director and the Executive Director, this is an excellent opportunity for an ambitious candidate to assume significant responsibility as well as gain a wealth of diverse experience producing two of the largest film festivals on the East Coast.
This position requires someone who is highly organized, multi-task oriented, able to manage logistics and people, and to act effectively under pressure. Preferred applicants are those with previous film festival or other types of special event management; theater management; volunteer/staff management experience; and/or film production managers.
Responsibilities:
Work with Artistic Director to manage and direct all Film Festival Operations (PFF & PIGLFF), including
but not limited to venue negotiation and rental, insurance, equipment, print traffic and media relations.
Work with Operations Manager to coordinate ticket sales & box office, and oversee general festival site
operations.
Coordinate PFS events (year-round), including but not limited to festival, with input from Executive
Director and Development Director: Opening & Closing Nights, festival centerpiece parties, festival guest receptions, and volunteer receptions.
Organize and oversee the Volunteer Coordinator, Print Traffic Coordinator and Director of Guest
Services. Manage the hiring process as well as train and support these staff members and their respective departments.
Monitor and evaluate expenses and income against the budget.
Oversee all PFS/Festival advertising and promotional campaigns, including design, placement,
distribution, and marketing appearances/events. Work with Membership and Marketing Coordinator to identify and contact new/underserved audiences.
Work with Director of Technologies & Program Design on all non-film elements of the festival program
guides, including production, mailing, and distribution.
Work with IT Department to maintain website including content development and online ticket sales.
Coordinate and oversee PFS internship program.
Create and establish partnerships between PFS and other organizations and film festivals (local,
regional, and national).
Oversee submissions process, maintaining active lines of communications with booker, curators, and
programmers.
Coordinate production of trailer and clip reels.
In the absence of a PFS Membership Coordinator, coordinate weekly screenings, interface with
members, solicit new members and maintain database systems.
Qualifications
Prior Film Festival experience is highly desirable
Outstanding communication and staff management skills
Human resources and staff supervision experience
Event planning and management experience
Highly organized and detail-oriented
Ability to work well under pressure and within tight deadlines
Flexible nature, ability to deal with ambiguity and high expectations
Capacity to work as part of a team as well as independently, without support staff
Proficiency in Word and Excel
This is a year-round position: hours include nights and weekends especially around and during Festivals. Benefits include two weeks vacation during the first year, 3 weeks after that; medical, vision, dental (begin on the first of the month after three months of employment); 5 sick days annually.
